Location:
We are looking for someone close to Edinburgh where our newest office is. While we are very flexible and don’t expect you to be in the office daily, being close to the office will be essential for collaboration and engagement in key meetings.
Role Summary:
As Senior Administrator, you will provide high-level administrative support to the COO and GM, managing schedules, inboxes, travel arrangements, and meetings across multiple time zones (North America, Australia, New Zealand). You will also provide assistance in financial and commercial processes, help with internal communications, and support the wider team with ad hoc office management.
Key Responsibilities:

Diary Management & Scheduling:
Proactively manage the calendars of the COO and GM, scheduling and prioritising meetings, appointments, and tasks across different time zones. Ensure that approval requests are addressed in a timely manner, and key meetings are coordinated effectively. -
Inbox & Communication Management:
Manage the COO and GM’s inboxes, flagging high-priority items, responding where necessary, and maintaining clear communication with both internal and external stakeholders on their behalf. -
Travel & Logistics:
Arrange domestic and international travel (including to the US, Canada, Australia, and New Zealand) for the COO and GM, ensuring smooth logistics and handling any travel changes promptly. -
Meeting Facilitation:
Organise and facilitate internal and external meetings, ensuring all logistics are handled efficiently (rooms, technology, agendas). Take meeting minutes, summarise key actions, and follow up on action items. -
Financial & Commercial Support:
Assist in service delivery meetings by tracking project status, invoicing, and financial performance. Support the COO and GM with commercial discussions related to headcount, revenue, and budget metrics. -
Internal Communications:
Support the preparation of internal communications and updates for the team, ensuring that key information is effectively communicated and aligned across the organisation. -
General Administration & Office Management:
Handle sensitive documents, maintain office management tasks, and support the wider team with ad hoc administrative functions. Organise company-wide and staff events and assist with health and safety procedures. -
Continuous Improvement:
Proactively identify opportunities to streamline administrative workflows and improve team productivity. Work closely with the COO and GM to implement solutions for enhanced operational efficiency.
To succeed in this role, you’ll need:
- Proven experience in a senior administrative or executive assistant role, ideally in a consulting or engineering environment.
- Excellent organisational skills and a high attention to detail, with the ability to manage multiple priorities.
- Experience supporting senior leadership and facilitating internal communications.
- Proficiency in managing complex travel logistics, including international arrangements.
- Ability to work under pressure, managing time-sensitive requests across different time zones.
- Strong financial acumen, with an understanding of budgets, headcount, and P&L.
- A proactive, can-do attitude, anticipating needs and acting independently.
- Strong communication skills, both written and verbal, with the ability to engage effectively with senior executives and clients.
- A flexible, adaptable mindset, willing to step in and support where needed.
